If a student is to adapt to a new family we obviously need to know about their family's ideas on education, their daily habits and their expectations.

 

These are some of the questions that have been asked by host families:

Vetting 

The Provision of the Children Act 1991 requires Host Families to complete the declaration questions (below) regarding suitability to host a TY Europe Ltd student who is under the age of 18 years of age.

All adults over the age of 18, who live in the family home will need to complete a vetting form. The vetting form will be posted to you after submission of this form.

Data Privacy Agreement:

  1. In the course of running our business TY Europe gathers, stores, uses and shares information about our clients with Key Partners & Coordinators who assist with Exchanges and Home Stay Placements;
  1. Personal data is only collected or processed if you give this information voluntarily within the scope of an application request. TY Europe only shares your application information with these parties on a limited basis following due diligence and in accordance with our internal procedures. TY Europe does not share your personal information with any other third parties for their marketing purposes.   In accordance with “Data Protection Regulations” you may request at any tie full details of what personal data has been stored by TY Europe and request that this information be erased.
  1. TY Europe collects and uses your personal data for the following reasons;
    • To provide and operate this service, together with our key partners and coordinators to respond to individual needs.
    • To improve and receive feedback on the website.
    • To improve customer services and to provide support services.
  1. The security of your personal information is exceptionally important to all of us and we use security technology to help protect your personal information from unauthorised access, use or disclosure. TY Europe only shares your personal information via email with the Agents (see Point 1. Above) on the basis that anyone to whom we pass it on protects it in the same way we would and in accordance with applicable laws.
  1. You have rights under “The General Data Protection Regulation” (GDPR) which include:
    1. The right to access personal information that we hold.
    2. The right to have inaccuracies corrected.
    3. The right to object to direct marketing.
    4. The right to have your personal information sent directly to yourself or another organisation.
    5. Rights in relation to automated decision making and profiling.

Check List for Host Families hosting Academic Students.

1. Host family to confirm flight details with parents prior to arrival of student, to arrive at airport prior to flight landing and collect student from airport arrivals. No student under 18 years old can travel alone to/from airport without host parents. Airport transfers are the sole responsibility of the host family.

2. Host family to contact parents and Jane before leaving airport to confirm student is safely collected.

3. Host family to return student to airport departures and check student in, remain at airport until student goes through security and message Jane/parents before leaving airport. No student under 18 years old to travel alone to/from airport without host parents. Host family is solely responsible.

4. Host family to provide warm individual bedroom for student with desk/lamp/socket suitable for study.

5. Student must be invited to join all family activities and trips for which the student does not pay.

6. Host family is encouraged to offer student local sightseeing trips/activities one day at the weekend each week as a planned family activity where possible. Student Parents and Agents appreciate this.

7. Parent of student pays for inscription to any after school activities/clubs.

8. Student to eat the same food as host family and share family meal times.

9. Student to spend time with host family when at home as appropriate and host family to encourage student to engage student fully in family life.

10. Student to be allowed to use bathroom products in family bathroom but will purchase own special toiletries as required.

11. Student is not allowed to be left in house for extended periods of time without a responsible adult and must accompany host family on trips and activities.

12. Student only allowed to sleep over at other TY Europe registered host families and with parents’ written permission.

13. Student not allowed to travel independently to Dublin without responsible adult without parents’ permission.

14 a Host family to act as parent/legal guardian for local school, to attend parent teacher meeting / Graduation for TY on parent’s behalf.
14 b. Host family must register with school online platform e.g. VSWare to access registration/behaviour etc.

15. Host family must email Jane student progress report at end of each month. (9 reports in total).

16. Host family to facilitate Jane’s meeting with student as required.

17. Host family must email Jane final student report at end of home stay.

18. Host family to maintain good weekly contact with student’s parents and send regular photos to parents.

19. Host family most inform Jane/Agent in the event of any concerns.

20. Please note the first 4-8 weeks is the trial period for both the student and the Host family parents.

21. Please note if student/host family is not happy with placement then student maybe removed if problems cannot be resolved.
